2. Data protection registration

Draco Business Solutions Ltd is registered with the Information Commissioner's Office under registration reference ZC206077.

3. Information we may collect

The information we collect depends on the service you use. It may include:

• your name, job title and contact details;
• your business name, address and company information;
• energy account, meter, usage, billing, payment and contract information;
• correspondence and messages sent by email, telephone, SMS or WhatsApp;
• call recordings where a call is recorded for quality, training, compliance or dispute-resolution purposes; and
• basic website usage, device and cookie information where relevant.

4. How we collect information

We may receive information directly from you by telephone, email, website enquiry, WhatsApp or SMS. We may also receive information from an authorised colleague, a referral or introducer, an energy supplier, an aggregator or intermediary, or a public business source where lawful.

5. Why we use your information

We may use personal information to:

• understand your business energy requirements;
• obtain and compare electricity, gas or other utility quotes;
• arrange and support energy contracts, renewals and supplier enquiries;
• communicate with you and keep appropriate business records;
• manage quality, compliance, complaints and the prevention of fraud;
• improve our services and website; and
• send relevant service or marketing communications where permitted.

6. Lawful bases

We use the following lawful bases, depending on the purpose:

• enquiries, quotations, contract arrangements and related support: steps requested before a contract, performance of a contract, or our legitimate interests in providing and administering the service;
• legal, regulatory, compliance, complaint and fraud-prevention work: legal obligation or our legitimate interests in protecting Draco, customers and the integrity of our services;
• service improvement, record keeping, security and website operation: our legitimate interests in running an effective and secure business; and
• optional analytics and marketing that requires permission: consent. You may withdraw consent at any time.

Where information is needed to provide a quotation, arrange a contract or meet a legal requirement, not providing it may mean that we cannot offer, complete or support the requested service.

7. Who we may share information with

We do not sell your personal information. Where necessary for the services you request, we may share relevant information with:

• energy suppliers and industry data services;
• aggregators, intermediaries and service partners supporting the quote or contract process;
• CRM, communications, IT, hosting and professional service providers; and
• regulators, ombudsman services, courts or public authorities where required by law or needed to establish or defend legal rights.

We limit each disclosure to the information reasonably needed for that purpose.

8. WhatsApp and international transfers

If you choose to contact us through WhatsApp, your information will also be handled by that platform under its own privacy terms. This service may process information outside the UK. Where Draco makes a restricted international transfer, we use an applicable adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard as appropriate.

9. Call recording and multilingual communications

Calls involving material contract discussions or agreements may be recorded where reasonably practicable. Key outcomes may be documented in English for accuracy and compliance, including where a conversation takes place in Cantonese or Mandarin.

10. How long we keep information

We normally retain customer, quote, contract and communication records for up to six years after the end of the relevant business relationship or transaction. Some records may be kept for a shorter or longer period where required by law, regulation, a complaint, dispute or legitimate business need.

11. Cookies and website data

Our website uses local browser storage to remember your cookie choice. If you consent, we also use Google Analytics 4 to measure website use and improve our service. Google Analytics is not enabled before you accept analytics cookies. You can reject or withdraw consent at any time through the “Cookie settings” control. Further details are in our Cookie Policy.

12. Your rights

Depending on the circumstances, you may have the right to ask for access to your information, correction, erasure, restriction, portability, or to object to certain processing. You may also withdraw consent where we rely on it. These rights are not absolute and legal exemptions may apply.

You have the right to object to processing based on legitimate interests and to direct marketing at any time.

You can opt out of marketing at any time by using an unsubscribe option provided or by emailing info@dracobusiness.co.uk. This does not stop service messages about an enquiry or contract. We may keep limited contact details on a suppression record so that we can respect your opt-out in future.

13. Automated decision-making

Draco does not make decisions based solely on automated processing that produce legal effects or similarly significantly affect you.

14. Complaints

Please contact us first at info@dracobusiness.co.uk so we can try to resolve your concern. You may also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.

15. Changes to this policy

We may update this policy when our services, systems or legal obligations change. The latest version will be published on this page with its update date.
